1. Information we collect

Depending on how you interact with us, we may collect:

  • your name, date of birth and contact details;
  • appointment and payment information;
  • medical history, medication and allergies;
  • treatment concerns, consultation notes and consent forms;
  • treatment records, aftercare and review information;
  • clinical photographs, skin analysis or scalp assessment information;
  • emails, messages, enquiries, feedback and complaints;
  • website activity, device information and cookie preferences;
  • marketing preferences.

Medical information and clinical photographs are treated as confidential health information.

2. How we use your information

We use your information to:

  • respond to enquiries;
  • arrange and manage appointments;
  • assess treatment suitability;
  • provide consultations, treatment and aftercare;
  • maintain accurate clinical records;
  • process payments;
  • communicate about your appointments and care;
  • respond to concerns or complaints;
  • meet professional, insurance, financial and legal requirements;
  • improve our services and website;
  • send marketing where you have agreed to receive it.

We will not sell your personal information.

3. Our lawful basis

We process personal information where it is necessary to:

  • provide a service you have requested;
  • take steps before providing a service;
  • meet a legal or professional obligation;
  • operate and protect the clinic;
  • provide appropriate clinical care;
  • respond to or defend legal claims.

We rely on consent for optional activities such as marketing communications, non-essential cookies and public use of patient photographs.

You may withdraw consent at any time. However, should your photographs be a part of a specific contract (i.e. Model Consent), it will not be possible to remove content from online platforms. This will not affect processing that has already taken place.

4. Clinical records and photographs

Your medical history, consultation notes, treatment records, consent forms and clinical photographs form part of your confidential patient record.

Clinical photographs may be used to assess suitability, plan treatment and monitor progress.

Consent for clinical photography does not give Linora permission to use your images publicly.

Marketing photographs, videos, testimonials or case studies require separate, explicit consent. You may decline without affecting your care.

5. Systems and organisations we use

We may share information with trusted providers where necessary to deliver and manage our services.

These currently include:

  • FacesConsent for patient records, medical forms and consent;
  • Pabau during and following our planned system migration;
  • GoDaddy for website hosting and website enquiries;
  • payment-processing providers;
  • email, messaging and secure cloud-service providers;
  • prescribing professionals, pharmacies or clinical providers where relevant;
  • insurers, accountants, legal advisers and professional bodies;
  • emergency services or authorities where disclosure is required.

During our migration from FacesConsent to Pabau, patient records may be transferred securely between the two systems.

Service providers may only use personal information for the purpose for which they have been engaged.

Our website uses cookies and similar technologies to operate correctly, remember visitor preferences and understand how the website is used.

We use:

  • Essential cookies for website operation, security and recording your privacy preferences.

Clinical records may be retained to meet patient-safety, professional, insurance and legal requirements.

Financial information is retained according to tax and accounting obligations.
